How we work together

Practical answers to common questions about working with Ionia — engagement models, process, rates, and how engagements are structured.

Engagement models

Every firm is different. Ionia offers three ways to structure an engagement depending on the nature of the work and how your practice operates.

Project-based

A defined scope of work with a clear beginning and end. Well suited for discrete tasks such as preparing a filing package, organizing a disclosure brief, building a document template system, or setting up a Power Automate workflow. Quoted at a flat rate based on the scope.

Best for: One-time or occasional needs with a clear deliverable

Ongoing retainer

A set number of hours per month reserved for your practice. Provides consistent, predictable support across active files, administrative tasks, and operational work without the overhead of a full-time position. Invoiced monthly.

Best for: Practices with regular, recurring support needs

As-needed

Support engaged on an hourly basis when the need arises — useful for practices with variable workloads or for trying out the working relationship before committing to a retainer. Invoiced at the end of each month for hours worked.

How it works

Initial conversation

We start with a brief call or email exchange to understand what you need, how your practice operates, and whether the work is a good fit. No commitment required at this stage.

Scope and proposal

For project-based work, I will provide a written scope and flat-rate quote. For retainer or as-needed arrangements, we will agree on an hourly rate and any relevant terms before work begins.

Engagement agreement

A short written agreement sets out the scope, rate, confidentiality obligations, and any other relevant terms. This protects both parties and ensures expectations are clear from the start.

Work begins

Work is completed remotely using the tools and systems your practice already uses where possible. Communication is direct and responsive — you will always know where things stand.
